What data we keep and who sees it

Short and in plain words. If anything is unclear, write to us and we will explain.

Who is responsible for the data

Responsible: Oleksandr Slobodianiuk, a registered sole proprietor in Portugal, Lisbon (in Portuguese, trabalhador independente). Write to pytannia@rodovidarchive.com: questions, corrections, deletion, complaints. We answer in Ukrainian or English. Letters from the book come from info@rodovidarchive.com.

What we record

The voice of the person telling the story, and the text of what they say. The answers to the questions. Photos and documents you add yourself. The names and email addresses of the people you name: who orders, who tells the story, who may see the book.

We do not identify anyone by voice. We do not work out who is speaking from the sound of the voice or in any other way. The recording is there only so that the words can be written down.

Who helps us work

We do not do speech recognition, email or payments ourselves. For these we use outside services. Each one receives only what it needs for its job.

  • Anthropic (USA): the artificial intelligence that composes the questions and writes the chapters from the story. It receives the text of the story.
  • Cloudflare Workers AI: turns the voice recording into text. This service does not store the recording or the text and does not use them to train artificial intelligence.
  • Cloudflare (storage in the EU): holds the recordings, photos and the book.
  • Scaleway (France): sends you the letters from the book.
  • Stripe: takes the payment. Your card number never reaches us.

We do not sell data and we do not show it to advertisers.

How long it is kept

Voice recordings stay in the book until you delete them. They are part of the book: you can always hear how the story sounded.

On the storyteller's phone. While a recording is on its way to us, a copy of it is kept for a short time in the browser of the phone or computer the story is told from. That way an answer is not lost if the connection drops or the page closes. The copy is erased as soon as the server confirms that the recording arrived, and at the latest 14 days later if it never does. If sending fails, the page tries again the next time the link is opened.

The free chapter. If you have not paid for the book, the first chapter and its recording stay in your account for 90 days. On day 60 we send you one letter about it. On day 90 the chapter and the recording are deleted.

After a refund. Access to the chapters closes at once. For another 30 days you can download the storyteller's own recordings, and the photos and documents you added yourself. Then everything is deleted, recordings included. It disappears from backup copies within the next 30 days. If you ask, we do it sooner.

Other people in the story

Memories always include other people: relatives, neighbors, colleagues. About living people we ask the storyteller to say only what that person would not mind seeing in a book. We do not ask for health, faith or other private matters of someone else, and if they appear in the story we mark that passage so that you can decide whether to keep it.

The storyteller can always say "this is not for the book", and that passage then goes neither into the text nor to anyone else.

If you add other people's photos or letters, you confirm that you have the right to show them.

You can order the book for your mother, father or grandmother. Then, before anything is recorded, we ask the storyteller separately whether they agree. We say plainly that the voice is recorded, that artificial intelligence helps and who will see the book.

Without that consent we record nothing. The storyteller can refuse at any moment, even in the middle of a conversation.

You can delete at any time

Write to pytannia@rodovidarchive.com and we will delete a single answer, a single recording or everything at once. The storyteller can ask for this too, not only the person who paid. You can also ask for a copy of everything we keep about you, or have a mistake corrected.

If you think we have done something wrong, you can complain to the data protection authority of your country.
